Position Overview

Provide support to medical staff in a fast-paced mental health outpatient clinic. Obtaining and documenting vital signs accurately. Competent user of technology including electronic medical records.

Essential Functions

  • Use CareLogic EHR, the agency’s electronic health record (EHR), appropriately and in compliance with the Health Insurance Portability and Accountability Act (HIPAA), including when documenting notes.
  • Obtain and accurately document each client’s vital signs and related measurements, including weight, blood pressure, and body mass index (BMI).
  • Administer and document screening assessments and surveys as assigned and connect clients with appropriate resources based on identified needs.
  • Conduct and document urine drug screenings as scheduled or as requested by a provider, following agency procedures.
  • Scan, upload, and mail correspondence related to care coordination, client engagement, and appointment follow-up.
  • Review the EHR and promptly update available laboratory results and medication lists within the scope of the Medical Assistant’s role.
  • Coordinate clients’ transportation needs through Medical Transportation Management (MTM Health), the non-emergency medical transportation scheduling vendor.
  • Monitor designated agency voicemail boxes multiple times each workday and promptly return calls or route messages to the appropriate staff member.
  • Complete referrals to internal and external services as directed by a provider, including gathering required information and submitting referral documentation.
  • Contact clients after missed appointments to facilitate rescheduling and support re-engagement in services.
  • Maintain an active Certified Medical Assistant credential issued by the appropriate credentialing organization, including timely completion of all renewal and continuing-education requirements, and promptly notify Human Resources of any lapse, restriction, suspension, or other change in credential status.
  • Perform other duties as assigned that are reasonably related to the Medical Assistant role and consistent with the employee’s qualifications, credentialed scope of practice, agency policies and procedures, and applicable laws and regulations.

Physical Requirements

While performing the duties of this job, the employee is required to sit, handle or feel objects, tools or controls and climb stairs. The employee frequently is required to walk, talk and/or hear; able to speak and hear sufficiently to communicate effectively by phone or in person at normal volumes; vision adequate to read correspondence, computer screen, forms, etc. The employee is occasionally required to stand, climb and/or balance. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include the ability to adjust focus.

Knowledge, Skills, and Abilities

  • Knowledge of behavioral health diagnoses and relevant signs and symptoms that may indicate exacerbation of diagnosis.
  • Ability to complete nursing-related administrative tasks such as VNA orders, prior authorizations, and medication refills.
  • Ability to communicate effectively verbally and in writing with clients, teammates, supervisors, and external providers.
  • Ability to organize, prioritize, document, and complete work in a timely and accurate manner.
  • Ability to maintain confidentiality and exercise sound judgment when handling agency, employee, client, vendor, or protected information.

Qualifications

  • High school diploma or equivalent; Certified Medical Assistant or Registered Medical Assistant credential with a minimum of one (1) year of experience in behavioral health is preferred.
  • Proficiency with technology, including email, the agency intranet, and the electronic health record
  • Demonstrated knowledge of services provided by Sound Community Services, Inc., community resources, and cultural competence.
  • Excellent interpersonal skills, including conflict resolution and advanced customer service skills.
  • Strong organizational and time-management skills.
  • Current cardiopulmonary resuscitation (CPR) and First Aid certification or eligibility to obtain certification.
